What we collect, who sees it, and how you stay in control. We never sell your information or use it for ads.

Effective October 11, 2026

The short version

  • We collect what you give us and what you choose to connect, to run your training, recovery and account.
  • Your journal is private. Your watch or ring numbers are yours alone; your OTB coach sees only your daily Recovery score.
  • College coaches see a recruiting profile only if you and, for minors, a parent turn it on.
  • We never sell your information, never use it for advertising, and never use it to train artificial intelligence.
  • Children under 13 use OTB only through an account set up with, and controlled by, a parent.
  • You can delete your account in the app at any time, and see or download your information by emailing onthebarreltx@gmail.com.

Who we are and what this covers

On The Barrel ("OTB," "we," "us") is a baseball and softball player-development company at 2603 Southwell Rd #104, Dallas, TX 75229, operated by On The Barrel LLC. This policy explains how we handle information on our website, onthebarrel.co, in The OTB App on iPhone, iPad, Android and the web, and in our athlete portal at app.onthebarrel.co (together, the "Services").

What we don’t collect: we don’t use advertising trackers or cross-site analytics on the website or in the app, we don’t collect your precise location, and the barcode scanner uses your camera only while it’s open and saves no images.

How we use it and who sees it

We use your information to provide the Services: running your account, building and adjusting your training, showing your progress, keeping arm workload safe, answering your messages, scheduling sessions and keeping the Services secure. We email you only about your account, bookings, or updates you signed up for, and every marketing email has an unsubscribe link.

Inside the app, access follows your role.

WhoWhat they can see
You (the athlete)Everything in your account
Your parent or guardianYour profile, assessment results and development plan, pitch counts and arm status, level and season, and journal entries you choose to share with them. Not your private journal, check-in answers, food log or wearable numbers
Your OTB coachYour assessments and plan, check-ins, training, throwing, food log, Standard check-offs, your daily Recovery score and label, and journal entries you share with your coach. Never your wearable numbers or private journal entries
OTB adminsOTB’s admins coach every OTB athlete, so they see what your OTB coach sees, plus what they need to run OTB (accounts, approvals, memberships). Never your wearable numbers or private journal entries
Other OTB staffWhat they need to run OTB and support you. Never your journal or wearable numbers
An outside team coach or organizationOnly athletes OTB has linked to their team, and only team testing results
A college coach or scoutNothing, unless your recruiting profile is turned on (by a parent if you’re under 18), and only after OTB approves that coach’s account

Service providers process information for us under contracts that limit them to providing their service:

  • Supabase: database and login
  • Vercel: hosting for our website and app servers
  • Resend: sending email
  • Momence: booking and payments for OTB sessions
  • Apple and Google: app stores and, later, subscriptions
  • Open Food Facts: food and barcode lookups, which receive the search words only
  • Google Maps: the map on our website, which Google loads and may set its own cookies for (see Google’s privacy policy)

We may also disclose information if the law requires it, to protect someone’s safety, or as part of a merger or sale of OTB, in which case this policy continues to apply to it.

What we never do

  • Sell, rent or trade your information, including your health and wearable data.
  • Use your information, or any health or wearable data, for advertising, marketing to others, or data mining.
  • Share your information with data brokers.
  • Use your information to train artificial intelligence models.
  • Show your journal to anyone you didn’t share an entry with.

Children and teens

Many OTB athletes are minors, so parents stay in control.

  • Under 13: OTB sets up the account together with a parent or guardian, who gives consent for us to collect the child’s information and has their own linked parent account. We collect from children only what the Services need, as described above, and never more as a condition of participating.
  • Ages 13 to 17: OTB sets up the account with a parent or guardian’s permission, and the parent can have a linked account. A recruiting profile stays off unless a parent turns it on.
  • Parents’ rights: a parent can review the information we hold about their child, ask us to correct or delete it, and refuse further collection, by emailing onthebarreltx@gmail.com. Deleting a child’s information may end their use of the Services.
  • If we learn we collected information from a child under 13 without a parent’s consent, we delete it.

We comply with the Children’s Online Privacy Protection Act (COPPA).

Wearables and health data

Connecting a watch or ring is optional, and nothing is read until you connect it yourself.

  • What we read: overnight heart rate variability, resting heart rate, sleep duration and efficiency, breathing rate, and WHOOP Recovery or Oura Readiness. From Apple Health we read only heart rate variability, resting heart rate and sleep. We never write to Apple Health.
  • How you connect: Apple Health asks your permission on your iPhone. WHOOP and Oura ask you to sign in on their own sites and approve exactly what OTB can read. Their login tokens are kept on our server, where no app login can read them, including OTB staff accounts.
  • What it’s for: only your OTB Recovery score and recovery views in the app.
  • Who sees it: you. Your OTB coach sees only your daily Recovery score and its label. Parents, staff, other coaches and college coaches never see your wearable numbers.
  • How long we keep it: nightly numbers for 60 days, the time your personal baseline needs, then they are deleted automatically. Your daily Recovery scores stay with your account.
  • Stopping and deleting: disconnect a device in the app or in Apple Health, WHOOP or Oura settings at any time. We stop reading at once and delete that device’s login. To delete all wearable data, delete your account in the app or email onthebarreltx@gmail.com; we delete it within 72 hours.
  • Always free: features that use your wearable data never require a paid plan.
  • Our promises: we never sell wearable or health data, never use it for advertising, marketing or data mining, never share it with data brokers, and never use it to train artificial intelligence.

When you connect WHOOP or Oura, OTB uses their APIs to read the data you choose to share. OTB is not affiliated with or endorsed by WHOOP, Oura or Apple. Your use of those devices is covered by their own terms and privacy policies.

How long we keep information

We keep account information while your account is open. When you delete your account in the app (Profile, then Delete my account), we delete your login and your information right away. A request by email is completed within 30 days, and within 72 hours for wearable data. We keep only what the law requires, such as payment and tax records, and copies in encrypted backups that roll off within 30 days. Website form messages are kept as long as needed to answer them and follow up.

Your choices and rights

You, or a parent for a minor, can at any time:

  • see and download the information we hold about you;
  • correct it, in the app or by asking us;
  • delete a journal entry, food log or throwing entry, or your whole account (in the app, under Profile);
  • stop sharing any journal entry, turn off your recruiting profile, or disconnect a device;
  • turn reminders off;
  • unsubscribe from marketing emails.

Email onthebarreltx@gmail.com to make a request. We answer within 30 days, often much sooner, and may ask you to confirm who you are first. Depending on where you live, you may have more rights under state law; we honor them, and we never treat you differently for using them.

Security

Information is encrypted in transit and at rest, access inside OTB is limited by role and enforced by the database itself, and wearable logins are kept server-side only. No system is perfectly secure. If a breach affects your information, we will tell you and the authorities as the law requires, and notify WHOOP and Oura within their required time frames when their data is involved.

Changes to this policy

We will post any change here with a new effective date. If a change is significant, we will tell you in the app or by email before it takes effect.
